Automatically Build the Asset Spare Parts List


It is advantageous in many ways to have the “Build of Materials” or parts list that make up an asset. Putting together a list from scratch can be a difficult and time consuming task. Mainsaver has the ability to build this list automatically over time. With the proper set up and configuration, as parts are issued to work orders and assets, they will be automatically added to the Asset spare parts list. Use the following steps to automatically build an Asset Spare Parts list.


In order for the Asset Spare parts list to build automatically, first each asset must have a valid Manufacturer and Model Number. These values can be input on either the Asset Reliability Tab, or on the Spares tab. Mainsaver builds the parts list based on these 2 entries. Therefore, all assets that share the same Manufacturer and Model number will have the same spare parts lists. Also note that many times, it can be quite the task to get accurate Manufacturer and Model numbers for existing equipment. In this case, a secondary and easier approach would be to populate the Manufacturer field on all assets with a default value such as “spares” and then just put the asset number itself in the model number. This allows each asset to build its own spare parts list without having to find and input real manufacturer & model numbers.

After populating values in the Manufacturer and Model fields of the assets, navigate to the Materials Module. On the detail tab of the each part record, check the “Auto Spare” check box. Checking this box designates this part as one that will be added to the asset spare parts list when it is issued out to work orders or assets. As a general best practice, you would not check the auto spare check box for consumable materials like gloves, batteries etc. Only check the box for parts that you would want added to the spares list.


When the asset spare parts lists are built, commonly used parts can easily and quickly be identified based on the asset being worked on at the time. Using the above set up will automatically build asset spare parts lists over time.
