Filtering out the deactivated assets

Opportunity:

“Over the years, we have deactivated assets but we still see them when we perform a lookup or a query. How do we get rid of these obsolete records?”

Solution:

The control panel for asset status codes is located in the System Administration module > Settings >> Status >>> Master List >>>> Assets. Select the Out-of-Service status type and make sure the Disable Flag is checked (On) and the Create Work flag is unchecked (Off). Also, when creating queries in the asset module, add a line for ‘asset_status not like DEA’ to filter out the deactivated assets.

Benefit:

Lookups and Queries will only return relevant data resulting in quicker identification of the target data. Also prevents users from mistakenly creating work orders on the wrong asset.
